18 Restaurant Review Response Templates for Restaurants
Use practical restaurant review response templates for praise, service problems, food complaints, delivery issues, and suspicious reviews.
The best restaurant review response is not the longest or fastest one. It shows that the team read the review, understood the specific experience, and knows what should happen next.
Use the templates below as structures. Replace the brackets, remove anything that is not true, and vary the language. Publishing the same paragraph under every review makes even a sincere response look automated.
The four-part response
For most reviews, use this sequence:
- Acknowledge: refer to the actual dish, visit, wait, delivery, or staff interaction.
- Respond: thank the guest or apologize plainly.
- Act: state what the team can genuinely check or change.
- Continue: invite an appropriate next step when follow-up is useful.
Before replying, separate the public response from the internal case. A guest may deserve a reply now while the location still investigates the root cause.
Triage before you type
| Review type | Public response | Internal action |
|---|---|---|
| Specific positive review | Thank and acknowledge the detail | Share praise with the team |
| Mixed review | Thank, recognize the positive, address the problem | Assign the improvement |
| Service delay | Apologize and explain the follow-up without excuses | Review shift and communication |
| Food-quality complaint | Acknowledge and request visit detail privately | Check order, recipe, and pass |
| Safety or allergen concern | Respond carefully and move to a controlled channel | Escalate immediately under company policy |
| Billing dispute | Avoid debating account details publicly | Verify receipt and payment |
| Suspected fake or off-topic review | Stay factual or wait while checking | Preserve evidence and assess policy |
| Abuse or extortion | Do not negotiate publicly | Preserve evidence and use platform reporting |
Google says businesses can report reviews that violate policy, but not reviews they merely dislike or disagree with. Read its guidance on reporting inappropriate reviews.

Cold or damaged delivery
[Name], your order should not have arrived in that condition. We are reviewing the preparation, packaging, and delivery handoff for the [Location] order. Please send the order number to [channel] so the team can trace it and respond directly.

Suspected fake, off-topic, or mistaken-location reviews
First check:
- whether the name or order appears in records;
- whether the review may refer to another location;
- whether the guest used a different name;
- whether the review contains an actual policy violation;
- whether other reviews show a coordinated pattern.
If a simple location mistake seems possible:
Hello [Name]. We have not been able to match the details in this review to our [Location] restaurant, and part of the description may refer to a different business. Please contact [channel] if this was your intended location so we can investigate.
Do not accuse the reviewer of lying. If the content violates policy, preserve the review URL and evidence, report it through the platform, and keep the public response factual.
Google provides a separate reporting path for negative review extortion scams. Its guidance says not to engage with or pay the people making the demand and to preserve screenshots, review links, dates, and communications.
Phrases to remove from your templates
Avoid:
- “We are sorry you feel that way.”
- “This has never happened before.”
- “Nobody else has complained.”
- “Our staff says you are wrong.”
- “Please delete your review.”
- “Contact us so we can offer a discount.”
- “We take all feedback seriously” without any specific follow-up.
These phrases sound defensive, dismissive, or transactional. They also tell the next reader very little about how the restaurant operates.
A practical response quality checklist
Before publishing, check:
- Does the response refer to something actually in the review?
- Is the restaurant location correct?
- Did we avoid exposing personal, order, or payment details?
- Is every promised action real and assigned?
- Does the reply sound calm when read aloud?
- Did we move sensitive details to an appropriate private channel?
- Is this materially different from our last five responses?
- Does an internal issue still need an owner?
Response targets for a multi-location team
Choose internal targets based on operating risk and staffing. For example:
| Priority | Example | Internal target |
|---|---|---|
| Urgent | Safety, threat, extortion, serious privacy concern | Immediate triage |
| High | Detailed one- or two-star service failure | Same operating day |
| Normal | Mixed or routine critical review | Next staffed review cycle |
| Low | Positive rating or short compliment | Batched response queue |
These are example workflow targets, not industry benchmarks. The important part is that the team knows who owns each queue and when an overdue item becomes visible.
Frequently asked questions
Should a restaurant respond to every review?
A response policy should cover every review type, but the effort can vary. Sensitive criticism deserves individual attention. Short positive ratings can be handled in a concise batch as long as the replies do not become identical.
How long should a restaurant review response be?
Use the shortest response that acknowledges the experience and states the next step. Most replies do not need multiple paragraphs.
Should we apologize if the facts are disputed?
You can acknowledge the guest’s experience and express concern without confirming an unverified allegation. Move transaction details and investigation into the correct private or internal channel.
Can AI write the response?
AI can prepare a draft from the review, location, brand voice, and case context. A person should verify facts, promises, privacy, and tone before publication, especially for sensitive reviews.
Can a restaurant remove a negative Google review?
Only Google decides whether a review violates its policies. Report policy-breaking content with evidence. Do not report a review merely because it is critical.
